Why we have this policy
Zivobooks sends messages to real people, moves information about real money and keeps records that tax authorities rely on. This policy sets out what you may not use it for, so the service stays trustworthy for every business on it. It forms part of our Terms of Service.
Unlawful and dishonest use
Don’t use Zivobooks to:
- break any law, including tax, anti-money-laundering, sanctions, consumer protection and data protection laws;
- create false invoices, fake receipts or misleading records, hide income from a tax authority, or help anyone else do so;
- issue documents in the name of a business you don’t represent, or pretend to be someone you’re not;
- collect payments for goods or services you don’t intend to provide;
- process the proceeds of crime or trade in illegal goods or services.
Messages to customers
Email, WhatsApp and SMS are for messages your customers can reasonably expect: quotes, invoices, statements, receipts, reminders and replies to their questions. Don’t use them to:
- send marketing or bulk messages to people who haven’t agreed to receive them;
- send threatening, abusive or harassing messages, including when chasing a debt;
- send content that is hateful, sexually explicit, or that infringes someone else’s rights;
- get around WhatsApp’s Business and Commerce policies or the rules of your mobile network.
Debt reminders must be fair and truthful. Where a customer asks you to stop messaging them on a particular channel, respect that.
Security and fair use
Don’t:
- try to access another business’s data, someone else’s account, or parts of the service you haven’t been given access to;
- probe, scan or test our systems for weaknesses, except under our Responsible Disclosure Policy;
- upload malware, or anything designed to harm devices or data;
- overload the service, scrape it, or use the API beyond its documented limits;
- share your account with people who should have their own login, or resell access to Zivobooks.
Content you upload
Only upload documents and data you have the right to use. Personal information about customers, suppliers and employees must have been collected lawfully, and you must have a lawful reason to keep it in Zivobooks.
What happens if this policy is broken
If we reasonably believe this policy has been broken, we may remove content, pause messaging or integrations, suspend a business or close an account. Where it’s safe and lawful, we’ll contact you first and give you a chance to explain or fix it. We may report illegal activity to the authorities.
