This document is published in English, and the English text is the one that applies. If anything is unclear, write to us and we will explain it in your language.
1. One plan per business
Each business in your account has its own plan and its own subscription. Your first business starts with a 30-day free trial with every feature and no card. We remind you by email 7, 3 and 1 days before it ends. After the trial, and for any further business you add, you choose a paid plan to keep using it. You can pay for several businesses with the same card.
Practice plans (Accountant and Firm) belong to an accountant’s practice rather than to a client business.
2. Prices and currency
Prices on our website are shown in US dollars so they’re easy to compare wherever you are. Payments are taken by our payment provider, Paystack, in South African rand at the rand price shown on the pricing page and before you confirm. If your card is in another currency, your bank may convert the amount and charge its own fees.
Annual plans cost ten times the monthly price, which works out to two months free.
3. How charging works
- Paid plans are charged in advance, at the start of each monthly or annual period, and renew automatically until cancelled.
- You receive a receipt by email for every payment.
- Anyone with permission to manage billing for a business can change its plan and pay. You decide who that is with roles.
4. Upgrading and downgrading
Upgrading starts the new plan as soon as payment goes through, with a new billing period beginning that day. Your previous plan’s subscription is stopped so you aren’t charged for both. If you upgrade part way through a period you’ve already paid for and would like credit for the unused part, email within 14 days and we’ll credit it fairly.
Downgrading to a smaller plan or to Free keeps all your data. Features and limits of the smaller plan apply from the change. Anything over the new plan’s limits, such as extra users, stays in your records, but you won’t be able to add more until you’re within the limits or upgrade again.
5. Cancelling
Cancel any time from the business’s Billing & plan settings. Cancelling during the trial costs nothing. A paid plan stays active until the end of the period you’ve already paid for; after that the business is paused until you subscribe again. Nothing is deleted when you cancel, and you can export your data at any time while you have access.
6. When a payment fails
If a renewal payment fails, your plan keeps working for a 7-day grace period while you sort out the payment. If payment still hasn’t gone through after that, the plan is suspended until it’s paid. Your data stays safe throughout, and everything comes back as soon as the payment succeeds.
7. Refunds
Because you can try every feature free for 30 days before paying, and cancel at any time, payments are generally not refundable. We will refund you:
- if we charged you in error, or charged you twice;
- within 14 days of your first payment for a business’s paid plan, if Zivobooks isn’t right for you, once per business;
- pro rata, if we remove a feature that was a material part of your paid plan, or end the service; and
- where consumer protection law gives you a right to a refund.
To ask for a refund, email with the business name and payment date. Refunds go back to the original card through Paystack and usually arrive within 5 to 10 business days.
8. SMS bundles and other charges
Every plan includes an SMS allowance each month, which doesn’t roll over. Extra SMS bundles are one-off purchases and are used only after the monthly allowance runs out. Unused bundle credits aren’t refundable unless the law requires it.
Payment gateway fees for payments your customers make to you are charged by the gateway to you directly, not by Zivobooks.
9. Price changes
If we change the price of a plan you’re on, we’ll tell you at least 30 days before your next charge at the new price. You can change plans or cancel before then.
10. Tax
Where VAT or another tax applies to our fees, it will be shown on your receipt. If you need a tax invoice with your business details, email .
