Stock & purchase orders

Stock you can count on, valued the way your accountant expects

Track how much of every product you have at each branch. Sales and till sales take stock off, purchase orders put it back on, and stock counts keep it honest. Your books carry the stock at what it really cost you, so your profit is right every month, not just at year end.

On hand, per branch

Quantities for every product at every branch, with running-low and out-of-stock filters and a reorder level per product.

Purchase orders

Order from suppliers, email the order, receive all or part of it, then turn it into a bill in one click.

Real cost of sales

Every sale posts its cost at the weighted average, so your gross profit is right as you go.

Stock counts

Count the shelf, enter what you found, and the gain or loss is posted for you with a full trail.

Transfers and write-offs

Move stock between branches, write off damaged goods or record what the business used itself, each with a reason.

Barcodes

Give products a barcode and scan them at the till or when you look stock up.

A stock sheet that agrees with the books

In many small businesses the stock sheet and the accounts never agree. Zivobooks keeps them in one place: every movement has a cost, every cost has a journal, and the Inventory account always equals the value of what’s on the shelf.

Order, receive, bill

Raise a purchase order, send it to the supplier, and receive the goods when they arrive, even across several deliveries. Receiving adds the stock at the price you paid, converted to your own currency if you bought in another one. When the supplier’s invoice arrives, the order becomes a bill without retyping anything.

Stock & purchase orders: your questions

Can’t find what you’re looking for? Ask us directly, and a person will answer.

How is stock valued?

At weighted average cost per product. New stock blends into the average at the price you paid; stock going out leaves at the average. It’s the method most small businesses and their accountants use.

Can stock go below zero?

Yes, so a sale is never blocked because the paperwork is behind. The product shows as out of stock, and the average cost restarts from your next purchase.

I already have stock. How do I start?

Enter the quantity and cost when you add a product, or record it as opening stock on the product’s stock page. The opening value is posted to your books for you.
